Job Summary

Wayfair is seeking a highly organized, proactive, and detail-oriented Senior Executive Administrative Assistant to provide high-level administrative and strategic support to senior leadership. This fully remote role is ideal for a seasoned professional who thrives in fast-paced, dynamic environments and is comfortable managing complex schedules, confidential information, and cross-functional coordination.

The successful candidate will act as a trusted partner to executives, ensuring seamless day-to-day operations, effective communication, and efficient workflow management. This role requires exceptional professionalism, discretion, and the ability to anticipate needs before they arise.


Key Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements

  • Act as a key point of contact between executives and internal/external stakeholders

  • Prepare, review, and edit reports, presentations, correspondence, and briefing materials

  • Manage confidential and sensitive information with the highest level of discretion

  • Coordinate virtual meetings, including agenda preparation, minute-taking, and follow-ups

  • Support strategic initiatives by tracking action items, deadlines, and deliverables

  • Handle expense reports, invoices, and administrative documentation accurately and on time

  • Streamline administrative processes to improve efficiency and productivity

  • Assist with special projects and ad-hoc executive requests as required


Required Skills and Qualifications

  • Exceptional organizational and time-management skills

  • Strong written and verbal communication abilities

  • High level of professionalism, discretion, and integrity

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Zoom, Teams, Slack)

  • Ability to manage multiple priorities independently with minimal supervision

  • Strong problem-solving and decision-making capabilities

  • Excellent attention to detail and accuracy


Experience

  • Minimum of 5–8 years of experience as an Executive or Senior Administrative Assistant

  • Prior experience supporting C-level or senior leadership in a corporate environment preferred

  • Experience working in a remote or hybrid environment is highly desirable


Working Hours

  • Full-time, remote position

  • Standard business hours with flexibility to support executives across different time zones as needed
